Role Description

We are seeking a highly motivated and detail-oriented individual to join our B2B marketing team as our B2B Event Marketing Coordinator. This role will support the B2B Events team with maintaining the annual event calendar, tracking project deliverables and managing administrative duties. The events will range from bespoke client networking events to participation at large tent pole conferences (in-person and hybrid) and everything in between.
In this role, you will collaborate with cross-functional Sales and Marketing teams at Tubi and Fox, as well as interaction with partners and vendors. This position requires constant use of interpersonal skills including the ability to foster collaboration and effectively communicate both in writing and verbally with partners and stakeholders.
This position can be based in San Francisco or Los Angeles and will report to the Director of B2B Industry Partnerships & Events, based in San Francisco. Some travel may be required.

Overview of Responsibilities

Administrative
Help schedule meetings and document status and follow ups on important actions from meetings.
Prepare shipments to conferences and events
Assist with routine correspondence with partners and vendors, coordinate event prep meetings and debriefs with internal teams and external partners
Assist in presentation materials for cross-functional meetings and maintain a repository of up to date work product for easy future referencing and use.
Facilitate ticket purchases and event registration for our internal colleagues and external clients & partners, as needed.

Project Management
Manage project timelines and deliverable tracking, communicating with internal leads to collect and deliver assets/information, send reminders of approaching deadlines, capture all outstanding items.
Maintain annual event calendar and track deliverables to ensure projects are completed within time limits and on budget.
Work with Accounting and the General Counsel's Office to manage vendor/supplier contracts and payments.

Event Planning
Support Sr. Lead of Event Marketing with overseeing entire event lifecycles, including, but not limited to, guest and internal communications, registration, event day staffing, program schedules, post-event follow-ups, invoicing, budget reports, attendance tracking, and feedback collection.
Manage event RSVP and attendee lists, leveraging Splash, our event management platform, when possible, and gather attendee insights for the Sales team.
Assist with event logistics and decisions, such as food and beverage, audio/visual, design and staging, branded materials, venue selection, transportation, etc.
Assist in the development and coordination of marketing asset deliverables for events, such as print and digital design assets, marketing collateral and corporate premiums.
Work closely with Sr. Lead and Director on post-event reporting including attendee surveys, recap decks, ROI evaluation and analysis.
Some travel in the U.S. may be required to provide on-site support at select events to ensure seamless execution.

Qualifications:
Proficiency with Google Suite (Slides, Docs, Sheets, Forms, etc) and event management platform (Splash) is a plus
Has demonstrated ability to multitask and work under pressure in fast-paced environment, managing multiple collaborators and concurrent programs
Exceptional communication skills to liaise with key stakeholders, identify their needs, and ensure customer satisfaction
Proactive approach to handling issues and troubleshooting any emerging problems
Commitment to compliance with all insurance, legal, health and safety obligations

Basic Requirements:
3~~@~~ years in event or marketing coordination, or executive assistant role with emphasis in event planning
Bachelor's Degree
Able to work in-office 1 day per week (Tuesday) and more as needed
Must be highly organized with exceptional attention to detail, excellent problem-solving skills and a results-focused approach
Ad tech and Entertainment industry experience is not required, but an intellectual curiosity to learn more about these industries is preferred
