Description
Managing various executive calendars, ensuring there is a manageable workflow throughout day-to-day meetings.
Arranging travel including booking flights, accommodation, and transportation.
Organizing and managing daily lunch arrangements for executive team.
Preparing and organizing materials for meetings and presentations.
Managing conference rooms to ensure all teams have a meeting space to properly conduct meetings while onsite
Taking meeting minutes and providing and disrupting high level summaries.
Coordinating and managing special projects and initiatives.
Tracking and managing expenses, invoices, and reimbursements, with some assistance into budget maintenance.
Drafting and editing internal communication and announcements.
Supporting Executive Assistant with onboarding new hires within all our systems.
Ensure the office is well-stocked with necessary supplies. Ad hoc assistance with snack distribution for Culver City Music Campus as needed.
Manage tech equipment place orders as necessary, oversee shipping and receiving, as well as maintain inventory levels of tech equipment and office materials.
Act as a liaison between other cross functional business units and departments such as Global Security and Facilities.
Providing onsite support to the larger Content & Editorial team by submitting and overseeing facilities based tickets for the office, including both interior and exterior building service requests.
Greet and assist any onsite guests.
Planning and organizing all team related events.
Event support on-site as-needed across our Music internal and external events, as well as support with in-office day-to-day needs and activities when necessary.
Coverage for Sr. Director's calendar when Executive Admin is OOO.
Education
Bachelors degree or equivalent experience preferred.
