The main function of an Executive Administrative Assistant is to provide high-level administrative support by managing calendars, handling information requests and providing proper guidance/assistance to a global team. A typical administrative assistant acts as information and communication managers for an office.


Job Responsibilities:
• Proactively manage and prioritize complex calendars for two leads in a fast-paced environment with shifting priorities, ensuring accurate scheduling and prioritization.
• Work closely with GM and program owners on ROB planning and execution aligning with team priorities and deliverables; track multiple workstreams, identify priority attendees and build workback schedules.
• Organize morale events and team meetings; secure meeting space and catering as well as provide onsite support.
• Maintain distribution groups, security groups and team memberships.
• Manage travel arrangements for GM; act as stand-by resource to address issues during travel.
• Reconcile and submit expense report for GM; act as interim approver for directs’ expense reports ensuring coding accuracy and adherence to MS Policy • Provide hardware tracking and assist with equipment procurement for new hires and as refresh devices.
• Complete special projects as requested on time, on budget with operational excellence.
• Demonstrate leadership by maintaining a professional attitude and contribute to the team culture through participation.
• Ensure compliance of Microsoft policies and procedures.

• Verbal and written communication skills, multi-tasking, customer service skills and interpersonal skills.
• Ability to work independently and manage one’s time.
• Ability to keep information organized and confidential.
• Proficiency with Microsoft productivity software including Outlook, Teams, Excel, OneNote, PowerPoint.


Education/Experience:
• High school diploma or GED required.
• 5-7 years experience required.
• Experience working with executives highly preferred.


Candidate Requirements
• Years of Experience Required: 5-7 overall years of experience in the field.
• Degrees or certifications required: No degree is required to be eligible for this role, however a bachelors is a strong nice to have.
• Disqualifiers: Candidates without required skills will not be eligible for the role.
• Best vs. Average: The ideal resume would contain familiarity with calendar management and understanding of ROB. Someone with big picture and strategic thinking will be the ideal fit.
• Performance Indicators: Performance will be assessed based on meeting deadlines, and quality of work.
